Privacy notice

Diamond Events (18 Milton Road, East Kilbride, Glasgow G74 5BU) is the controller of the personal information described here. For anything about your information, email info@diamondevents.uk or call 01355 574 852.

• When you send an enquiry through our website: the details you send through our enquiry form (event types, dates, guest numbers, venue, services, optional budget band, how you heard of us, your message), with your name, email and phone number.
• When you get in touch or book a meeting: your name, email, phone number, the time you choose and anything you tell us about your event.
• When you plan an event with us: the contact details of the people on the booking, event dates, venues, guest numbers, menu and décor choices, quotes, the terms you accept, and the payments you make.
• Guest replies: guests’ names, whether they are coming, and any dietary needs or allergies they tell us. Allergy and dietary information can reveal health or religious beliefs, so we only ask for it with consent and use it only to cater safely.
• When you sign in: your email address or phone number, a one-time sign-in code, and a sign-in cookie.

• To answer enquiries, arrange meetings, and prepare quotes (steps before a contract, at your request).
• To plan, cook for and run your event, and to send you reminders and updates about it (performing our contract with you).
• To cater safely for guests with allergies or dietary needs (explicit consent, which can be withdrawn at any time).
• To keep accounts and match payments (legal obligation and our legitimate interests).

We do not sell your information, and we do not use it for advertising.

We do not take card payments online. You pay by bank transfer, and we record the amount, date and reference to match it to your booking. We never ask for your card or bank login details.

Only the services that run our booking system for us, under contracts that require them to protect it:

• Supabase, which stores our data in London.
• Vercel, which hosts this website and app in London.
• Resend, which sends our emails from the EU.

If we connect our accounting software or calendar, or message you by text or WhatsApp, the details needed for that are shared with that provider. We share information with others only when the law requires it.

We use a cookie only to keep you signed in. There are no analytics or advertising cookies. The app may also remember display settings, such as light or dark mode, on your own device.

• Guests’ dietary and allergy details are deleted automatically 90 days after the last event on the booking.
• Enquiries that do not become bookings are kept only as long as is useful to follow them up.
• We keep a record of every website enquiry, including ones our spam checks flag, with a one-way scrambled (hashed) version of the sending IP address, so genuine enquiries are never lost and abuse can be blocked.
• Booking and payment records are kept for as long as the law requires for accounting records.

You can ask to see the information we hold about you, have it corrected or deleted, restrict or object to how we use it, receive a copy to take elsewhere, and withdraw consent at any time. Email info@diamondevents.uk and we will reply within one month.

If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
